This release introduces the ability for Requesters to select unavailable dates during the visit request process.

Previously, users were restricted to selecting only available dates based on system-defined availability rules. If a preferred date was unavailable, users were unable to submit the request using that date and often had to choose alternative dates or coordinate manually with Event Managers.

With this enhancement, the requesters can select unavailable dates when creating or updating visit requests. The system clearly identifies unavailable dates while still allowing selection, enabling users to communicate preferred scheduling requirements without being blocked by availability restrictions.

The enhancement improves scheduling flexibility, supports customer-preferred visit dates, and reduces friction during the request creation process while maintaining visibility into availability constraints.

Functional Summary

The enhancement allows Requesters to select dates that are currently marked as unavailable by the system.

Unavailable dates continue to be identified visually within the date selection experience; however, they no longer prevent users from proceeding with visit request creation.

The selected unavailable date becomes part of the request and remains visible throughout subsequent planning and scheduling activities.

The enhancement does not alter how availability is calculated. Instead, it removes the restriction that previously prevented users from selecting unavailable dates.

How it works / User Flow

1. Create a New Request

Navigate to the visit request form.

Begin entering request information.

Open the date selection control.


2. Review Available and Unavailable Dates

The calendar displays:

  • Available dates
  • Unavailable dates

Unavailable dates continue to be visually distinguished.

Availability indicators remain visible.

 

3. Select an Unavailable Date

Choose a date that is marked as unavailable.

The system allows the selection.

The selected date is populated into the request.

No blocking validation occurs.


4. Submit the Request

Complete the remaining request information.

Submit the request.

The request is saved with the selected unavailable date.


5. Review Request Information

Briefing Managers/planners/Admins can review the request.

The requested unavailable date remains visible within scheduling workflows.

Existing availability calculations remain unchanged.

The system continues to determine:

  • Available dates
  • Unavailable dates

The enhancement does not modify availability logic.


Date Selection Behavior

Previously:

  • Unavailable dates could not be selected.

Now:

Request Storage

Selected unavailable dates are stored in the same manner as available dates.

No special storage mechanism is introduced.

The selected date becomes part of the visit request record.


Workflow Visibility

Unavailable dates selected by Requesters remain visible throughout the scheduling process.

Event Managers can review and manage requests using existing scheduling workflows.


Existing Scheduling Processes

The enhancement does not:

  • Automatically approve requests
  • Override scheduling reviews
  • Modify approval workflows
  • Change visit scheduling rules

Existing operational processes remain unchanged.
